Licenses control who can use the product in Self-Billing workspaces. Each active workspace member with access consumes one license seat at their workspace tier (Foundation, Business, or Professional). Licenses are separate from AI wallet credits, see Billing models: licenses vs AI wallet.
License pool basics
Your organisation maintains a pool of purchased licenses per tier.
View and purchase licenses from Billing → License Management.
Assign licenses to client workspaces when creating or editing a workspace.
Unassigned licenses remain in your pool until allocated.
You cannot activate more users than you have licensed seats for that tier.
Tiers
Foundation: core strategy, OKRs, KPIs, tasks, and market intelligence.
Business: adds live dashboards, integrations, and team chat.
Professional: adds company wiki, process map, certifications, and AI strategic advisor.
Enterprise: custom pricing; contact Elevale for order forms.
Each workspace runs at one tier. Mixed tiers across your client base are normal.
Purchasing licenses
Open Billing and choose Purchase Licenses.
Select tier and quantity; checkout uses your agency billing profile with Elevale.
After payment, licenses appear in your available pool (allow a few seconds for sync).
Download invoices from the Billing tab when needed.
Assigning licenses to workspaces
When creating a workspace under Self-Billing, pick tier and license quantity in Workspaces.
Adjust assignments later from the workspace card or License Management dialog.
Workspaces on Stripe Connect (Automated) billing do not draw from your license pool, seats are billed via client subscriptions instead.
The workspace card shows a Self-Billing or Stripe Connect badge for clarity.
How seats are counted
Each active member in a Self-Billing workspace consumes one seat at the workspace tier.
Pending invitations reserve capacity where the product enforces seat limits.
Removing a member frees a seat for reuse in that workspace.
Do not share accounts or create duplicate users to circumvent licensing.
First client handoff (one license)
When you create a Self-Billing workspace with one license, you initially hold that seat as agency owner.
Invite your client as a normal user (not agency_admin). A provisional second invite is allowed while you are the only member.
When the client accepts, ownership transfers to them, your seat is removed, and the workspace stays at one billable user.
Adding a second client user requires an additional license in the pool.
See Onboarding your first client for the full walkthrough.
Reducing or changing licenses
Use Manage License Quantities or Reduce Licenses in Billing when your pool exceeds assigned seats.
You cannot reduce below currently assigned seats, offboard users or reassign workspaces first.
Tier change requests from Self-Billing clients may appear in Workspaces for your approval.
Quick reference
Manual client invoicing → Self-Billing workspaces + license pool.
Automated seat subscriptions → Stripe Connect workspace billing (no pool draw).
AI usage → agency and client AI wallets, not license seats.
